Job Description

  • Maintain and update all 201 files and ensure completeness of employee records (e.g., contracts, IDs, clearances, government forms).
  • File, retrieve, and archive HR documents accurately in both physical and digital storage systems.
  • Monitor expiration dates of documents such as contracts, IDs, permits, and certifications, and coordinate necessary renewals or updates.
  • Ensure proper version control and issuance of HR forms, templates, and policies.
  • Support the HR team during audits (e.g., DOLE, SSS, ISO) by providing accurate and timely documentation.
  • Encode and maintain data in HR databases or Human Resource Information System (HRIS), if applicable.
  • Implement and enforce data privacy and confidentiality measures related to employee documents.
